Where you take out a business insurance policy with us we may collect and use personal information to arrange, underwrite, manage your policy, prevent fraud and handle claims.
The personal information we use for these types of policies may include information about your business, including the business name, the contact person for your business, details of directors, partners or individual traders for the business and payment information.
We may also collect details about the number of employees, details of employees, their role in the company and details of the business assets or liabilities to be insured.
We’ll collect identity information in relation to employees or other people to be insured under the policy.

Monitoring & recording of emails & telephone calls
Our administrator may record telephone calls for monitoring and training purposes to assist in preventing and detecting fraud.
Data storage security
All personal information collected by us is done so securely with security systems to prevent unauthorised access. We take security very seriously and we use one of the strongest available security systems to protect your communications with us. Whenever you fill in an online form, such as a request for a quote, it is automatically protected using something called a Secure Socket Layer ("SSL") between your computer and ours. SSL works in the following ways:
- It prevents impersonation – you can tell that you are using a genuine SSL site by the padlock symbol at the bottom of the screen. Clicking on either the padlock of the image opposite will reveal our Registration Certificate that is issued be Verisign, a leading Internet security company.
- It encrypts data – as soon as your computer has recognised our computer they encrypt all information that is passed between them. Data encryption means that no one else can read or change your information as it travels over the internet.
- It prevents scrambling – SSL uses a Message Authentication Code to prevent anyone tampering with the site. Your computer will always check this code before it takes a message from us. This means that if anyone tried to interfere with a message, your computer would not recognise the code and would alert you.

How We Use The Information About You
As a data controller, we collect and process information about you so that we can provide you with the products and services you have requested. We also receive personal information from your agent on a regular basis while your policy is still live. This will include your name, address, risk details and other information which is necessary for us to:
- Meet our contractual obligations to you;
- issue you this insurance policy;
- deal with any claims or requests for assistance that you may have
- service your policy (including claims and policy administration, payments and other transactions); and,
- detect, investigate and prevent activities which may be illegal or could result in your policy being cancelled or treated as if it never existed.
In order to administer your policy and deal with any claims, your information may be shared with trusted third parties. This will include members of The Collinson Group, third party administrators, contractors, investigators and claims management organisations where they provide administration and management support on our behalf. Some of these companies are based outside of the European Union where different data privacy laws apply. Wherever possible, we will have strict contractual terms in place to make sure that your information remains safe and secure.
We will not share your information with anyone else unless you agree to this, or we are required to do this by our regulators (e.g. the Financial Conduct Authority) or other authorities.
The personal information we have collected from you will be shared with fraud prevention agencies and databases who will use it to prevent fraud and money-laundering and to verify your identity. If fraud is detected, you could be refused certain services, finance, or employment.
